Vendor Compliance Specialist
Arbour Group is looking for a full-time Vendor Compliance Specialist to join their client's organization, a leading elevator and escalator consulting and inspection firm in the U.S.
In this pivotal role, you'll be responsible for ensuring our company's seamless setup and ongoing compliance within various client-specific vendor portals and work order systems. This position is crucial for maintaining strong client relationships and uninterrupted service delivery post-sale.
Key Responsibilities
- Client Portal Setup & Compliance:
- Manage the end-to-end process of registering and setting up our company's profile in new client vendor portals and work order systems, aligning with post-sale requirements.
- Rigorously review and prepare our company's documentation—including insurance certificates, company policies, IT security compliance, HR data, and corporate information—to meet each client's specific portal requirements.
- Collaborate closely with internal teams (e.g., Legal, Finance, HR, IT, Operations, Sales) to gather and verify all necessary company information and documentation for client portal submissions.
- Ensure all our company's information within client portals is accurate, complete, and up-to-date, adhering to all client and regulatory compliance standards.
- Act as the primary point of contact for clients regarding our company's compliance status and documentation within their portals.
- Continuous Portal Maintenance & Renewals:
- Proactively monitor and manage the continuous updating and renewal of our company's information within all client vendor portals and work order systems as new data, revised policies, or expiring documents (e.g., insurance renewals, certifications) emerge.
- Ensure the timely submission of renewed or updated documentation to maintain uninterrupted compliance and access to client systems.
- Communicate internally to request updated company documentation and externally with clients regarding compliance status.
- Compliance Monitoring & Troubleshooting:
- Monitor our company's compliance status across all client portals, identifying and addressing any potential gaps or issues proactively.
- Troubleshoot and resolve any issues related to our company's profile, data, or compliance status within client systems.
- Maintain detailed records of all client portal registrations, compliance documentation, and interactions.
- Client Work Order System Management (Backup Support):
- Serve as a backup for managing our company's presence within various client-mandated work order systems and portals.
- Ensure our company's information (e.g., insurance, certifications, contact details) is accurately maintained and compliant with each client's specific portal requirements.
- Assist in troubleshooting and resolving any issues related to our company's profile or data within client systems.
- Process Improvement:
- Identify and recommend improvements to the internal processes for managing our company's presence in client portals to enhance efficiency and accuracy.
- Develop and update internal documentation related to client portal management procedures and compliance requirements.
- Performs other related duties as assigned.
Qualifications:
- Proven experience in a compliance, administrative, or operations role, with direct experience managing company profiles or data within external client or vendor portals.
- Exceptional attention to detail and a high degree of accuracy in data entry and document review.
- Strong organizational skills with the ability to manage multiple client portal requirements and deadlines effectively.
- Excellent communication skills, both written and verbal, for collaborating with internal teams and interacting with external clients.
- Proficiency in using various online portals, databases, Salesforce, and standard office software (e.g., Microsoft Office Suite).
- Ability to learn new client-specific systems and platforms quickly.
- Proactive problem-solver with a strong sense of ownership and a client-focused approach.
- Understanding of common compliance requirements related to insurance, data privacy, IT security, or corporate governance is a strong plus.
